Summary
As part of the Prospect Development team, the Assistant Director of Grateful Patient and Prospect Development is responsible for designing and implementing segments of the Grateful Patient and Family Program, specifically as they relate to major giving pipelines for the health system.
The Assistant Director will also lead efforts to establish and promote effective portfolio management practices in the Michigan Medicine Office of Development and will conduct outreach to help fundraising teams operationalize their use of information and data analyses into their fundraising strategies. In addition, the Assistant Director will assist in maintaining the accuracy and integrity of the university DART database through the development and implementation of auditing and tracking policies and procedures.
The role of the Assistant Director includes building relationships to:
- Consult with Michigan Medicine Office of Development gift team leads on how to engage all caregivers (faculty, staff, physicians, nurses, etc.) with identifying fundraising priorities and recommend facilitators as requested.
- Participate in formal and informal needs assessment of a department/division/institution's philanthropic engagement opportunities and recommend appropriate course of education. Support new modes and models of faculty engagement.
- As requested in partnership with major gifts officers, devise strategies to leverage the enthusiasm of key faculty who are champions of grateful patient fundraising to increase faculty awareness of identifying grateful patients and associated fundraising opportunities.

Responsibilities*
Prospect Development duties - 30%
- Plan and implement strategies to identify new and existing donor prospects that have the potential to transition to a higher level of giving and move them into gift officer portfolios.
- Help with the implementation and management of an on-going system for prospect identification, pipeline movement, and gift officer activity.
- Collaborate with prospect data analysts in the use of technology on strategic projects and custom dashboards and reports.
- Monitor data management within the central database specifically related to prospect tracking data including process design and data integrity audits.
- Collaborate with prospect data analysts on projects related to prospect data, providing training, project management, and ensuring quality and timeliness of work.
Prospect Management duties - 30%
- Promote effective prospect tracking and management throughout the Michigan Medicine Office of Development. Monitor accuracy and integrity of prospect-related data in the University's central database (DART).
- Serve as the primary resource to Michigan Medicine major gift officers and other development staff with questions about Prospect Management.
- Collaborate with PDA and PD team members to determine engagement strategies related to assisting members of the development community with Prospect Management related issues (process, policy, activity, and reporting).
- Participate in training of prospect management policies and procedures as well as systems and applications according to development community best practices, coordinating with prospect data analysts on such efforts, as necessary.
- Provide support and reference materials to Michigan Medicine major gift officers based on needs discovered during outreach sessions and questions presented to Prospect Management.
- Collaborate with OUD Prospect Management to track follow-up from portfolio reviews.
- Monitor accuracy of data concerning donor demographics, capacity, and areas of interest and work with PD team members on data updates.
- Monitor pipeline reports such as "Top Gifts" for accuracy and completeness and suggest improvements to the donor pipeline reporting and evaluation process as appropriate.
Grateful Patient duties - 35%
- Lead efforts to identify and engage Grateful Patients in major gift pipelines and portfolios.
- Collaborate with other Michigan Medicine Office Development teams, particularly Annual Programs, in the design and execution of the overall strategy of the Grateful Patient program.
- Collaborate with Michigan Medicine and University partners in efforts to establish a well-supported data source to drive Grateful Patient processes and analyses and to provide effective and efficient management, dissemination and analysis of Grateful Patient prospecting activity.
- Collaborate with Michigan Medicine and University partners to maintain patient information in DART.
- Participate in Michigan Medicine and University efforts to design and implement a grateful patient module in DART with particular emphasis on major gift and portfolio management.
- Have thorough knowledge of fundraising under the rules of the Health Insurance Portability and Accountability Act (HIPAA) Privacy Rule as well as the handling of Protected Health Information (PHI).
- Review all patient-related marketing materials to ensure adherence to HIPAA and UMHS policy.
- Maintain relationship with the Michigan Medicine Compliance office to ensure clarification on HIPAA compliance-related issues. Work with Compliance to develop HIPAA training for UMHS staff.
- Support fundraising teams in their identification and engagement of faculty partners by providing information, processes, and strategies to help achieve physician referral goals.
- Create standards and metrics reporting designed to measure effectiveness of various aspects of grateful patient program, including major gift pipelines and physician referrals.
- Work with PD and Michigan Medicine leadership to be well-informed of benchmarking trends.
Additional duties - 5%
- Collaborate with other development departments including Annual Programs as well as Gift Finance and Handling to improve redundant processes.
- Assume responsibility for meeting and maintaining the standards set forth in the Association of Professional Researchers for Advancements (APRA) Ethics Guidelines and Body of Knowledge, with specific focus on the Relationship Management domain.
Required Qualifications*
- Bachelor's degree or equivalent combination of education and experience is necessary.
- At least 3 years of office experience is necessary; previous prospect development and customer service experience highly desired.
- Demonstrated ability to manage sensitive information with the highest degree of confidentiality.
- Well-developed interpersonal skills and excellent oral and written communication skills; exceptional customer services skills.
- Demonstrated ability to work independently as well as a proven record of working collaboratively with others is necessary.
- Demonstrated ability to develop good working relationships with internal and external colleagues and to work collaboratively with colleagues in a team environment.
- Demonstrated experience in project management and the ability to manage multiple projects and priorities and meet challenging and changing deadlines.
- Detailed and results oriented with strong anticipatory instincts; a self-starter who takes initiative with excellent follow-through.
- Must have strong analytical skills, including familiarity with a networked environment as well as common databases and other applications.
- Requires a high level of proficiency or ability to learn proactive prospecting methodologies and prospect tracking and management.
- Knowledge of/or ability to learn best practices in development, fundraising and community service as recommended by related umbrella organizations such as APRA and CASE.
Desired Qualifications*
- Experience in higher education and knowledge of hospital fundraising.
- Familiarity with Michigan Medicine policies and procedures.
Work Locations
The onsite location for this position is an office suite at 777 E. Eisenhower Pkwy, Ann Arbor. This building provides free, on-site parking for staff.
This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.
Background Screening
