Summary
The Children's Centers has an exciting opportunity available for an Administrative Assistant. This role is responsible for supporting the center administrators and teachers. Responsibilities*
- Undertake various administrative tasks in support of the Children's Centers; including document creation and updating and filing. Respond/manage shared inbox, respond to issues and triage general inquiries as appropriate.
- Reconcile purchasing cards (P-Cards), ensuring all charges are accurate and accounted for; ensure compliance with Procurement guidelines.
- Guide staff members with using the Concur expense reporting system, assisting them with the submission and management of travel/expense reports to maintain transparency and accountability.
- Coordinate on-boarding of temp student employees, helping acclimate new employees to the center; track and update new hire paperwork, track timesheets.
- Oversee tracking of center inventory and take initiative in ordering supplies as needed. Ensure the availability of essential materials.
- Assist with collecting information such as immunization records and health appraisals from newly enrolling families; help connect new families to teachers in order to share classroom information.
- Provide front desk coverage at Children's Centers. Welcome and assist parents, visitors, and staff with inquiries. Ensure a professional and welcoming atmosphere at the front desk.
Required Qualifications*
- Associates degree or an equivalent combination of education and experience.
- Minimum of 2 years experience in an administrative support or similar position
- Demonstrated interpersonal communication skills
- Basic familiarity with Microsoft Office applications and Google Suite
Work Schedule
Monday through Friday hours ranging between 7:00 a.m. to 6:00 p.m. Specific schedule to be determined by manager and successful candidate. There may be opportunities for flexible/non-standard work scheduling such as (4),10-hour days.
