Summary

Perform a variety of administrative duties to support the Michigan Dining team. Administrative support to the Michigan Dining System support team, Assistant Directors, and unit-specific tasks. Administer financial functions including, billing for Michigan Dining vendors and internal campus departments and Pcard and SOA reconciliation, purchasing and revenue, and expense tracking and reporting. Support and trains department staff using specialized software. You will report to the Michigan Dining Director of Systems.

Responsibilities*

  • Help record sales, food costs, and labor costs, maintain and reconcile tracking reports for Michigan Dining. 
  • Manage and validate the Unit bargain staff records; correct errors and resolve inconsistencies and irregularities.
  • Review retail contracts for multiple facilities and maintain data in the event management system to ensure accurate billing. Resolve billing data inconsistencies and concerns with internal and external customers and reconcile processes to confirm all contracts have been billed and funds received. 
  • Provide customer service support to our Event management application users by creating new accounts, and answering questions when they arise.   
  • Audit weekly and monthly billing for all of Michigan Dining.
  • Approve student payroll, and serve as back-up payroll delegate.
  • Support Statement of Activity (SOA) reconciliation and invoice tracking tools used by Michigan Dining.
  • Process financial transactions and provides ad hoc reporting.
  • Prepare and facilitate audits of Michigan Dining's internal billing and invoicing.
  • Assist callers who may be students, faculty, staff, parents, vendors, retail clients, or other campus community guests and members. 
  • Provide support for Michigan Dining in a multi-unit environment.  Manage calendars for assigned staff and departmental calendars for special events, unit-specific visitors, and shared room resources. Manage mail distribution and orders office supplies. Make travel arrangements. Coordinate meetings and agendas, and takes meeting notes. Serve on search committees.
  • Partner with Michigan Dining's Training team to manage the scheduling for all Michigan Dining new hire onboarding. Meet with all new hires on their first day to walk through each new hire's onboarding schedule. Show all new employees how to navigate Michigan Dining online tools.  
  • Coordinate service requests for maintenance and other common office needs. 
  • Manage office files, systems, email groups, and online directories. In partnership with other administrative assistants reviews and maintains information on sections of the public MDining website, staff intranet, and shared drives. 
  • Support units by making labels. Proofreads communications and materials for accuracy and grammatical correctness. 
  • Hire, and supervise student office staff.
  • Support departmental initiatives including student engagement and Diversity, Equity, and Inclusion.
  • Support a team of essential employees that are required to work on campus.

Skills You Have

  • Associate's Degree with 4-5 years of administrative experience, or High School Diploma with 8-10 years of administrative experience.

Additional Information

This role may have reporting obligations under Title IX and Clery.

Selected candidates whose start date is 4/1/2024 or after, will not be eligible for the university FY24-25 salary/merit plan unless otherwise notified.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Relocation will not be offered for this position.
