Summary

This role transcends standard administrative support roles, blending key elements of traditional administrative support roles with project coordinator values. The successful candidate will streamline Dr. Kretzler's demanding schedule, managing a significant volume of emails and meetings, and ensuring seamless communication with both internal and external stakeholders. This position is fast paced, requires agility, anticipation, and problem-solving skills.

Responsibilities*

Administrative Support:

  • Efficiently and effectively manage Dr. Kretzler's diverse and dynamic schedule, becoming a subject matter expert on his priorities, network, and proactively advancing tasks with minimal supervision.
  • Oversee and execute intricate international travel arrangements for Dr. Kretzler and occasionally for Lab members.
  • Prepare comprehensive correspondence, reports, and memoranda and manage complex inquiries.
  • Ensure timely and accurate Conflict of Interest Reporting, Sunshine Act monitoring, and CONCUR Expense Reconciliation for Dr. Kretzler.
  • Coordinate meeting materials, agendas, logistical elements, and small projects in collaboration with the Operations Manager.

Event Planning & Coordination:

  • Collaborate with Operations Manager for the planning the logistics and execution of events and schedules for visiting scientific collaborators.
  • Execute event plans for large audiences ensuring all details from inception of the event idea, implementation of the event, to completion is done with excellence. 

Backup Support:

  • Provide reliable backup support for other MiKTMC Administrative Assistants during their absence, ensuring uninterrupted administrative functionality.

Professional Development and Continuous Improvement:

  • Actively engage in learning and mastering various technologies utilized by the MiKTMC Team and Collaborators.
  • Participate in bi-weekly meetings with a Michigan Medicine mentor for continual professional development.
  • Network within the Neph Admin Staff group to enhance understanding and coordination across various administrative domains within the Division of Nephrology and the Department of Internal Medicine. 

Required Qualifications*

  • High School Diploma or equivalent 
  • Minimum of 4 years of experience in an administrative support role, where responsibilities were expanding, and critical thinking/problem-solving skills were regularly applied to overcome challenges and drive improvement.
  • Excellent computer skills including Microsoft Word, Excel, PowerPoint, and e-mail.
  • Reasonable knowledge of university policies and procedures.
  • Exceptional organizational skills, attention to detail, and interpersonal communication abilities.
  • Utilizes extreme confidentiality in handling sensitive topics.
  • Proven ability to manage complex schedules and projects, work professionally with diverse stakeholders, and provide robust support in a fast-paced environment.
  • Strong technological competence, with a willingness to learn and adapt to new systems and platforms.
  • Basic understanding of U-M research activities and familiarity with university policies and procedures is preferred.
  • Project coordination experience is a plus.

Desired Qualifications*

  • Bachelors degree preferred
  • Moderate proficiency in using Concur, M-Pathways,  Elements, and PubMed 
  • Working knowledge of UM SPGs for travel and procurement
  • Some experience or familiarity with program or project management.
  • Strong working knowledge of university policies, procedures, and processes.
  • Proficient with Concur, MPathways, Procurement systems, Outlook calendaring, Schedulon, Zoom, and Dropbox.
  • Experience with managing international travel arrangements and navigating travel visa processes with various State departments.

Additional Information

  • This is a full-time onsite or hybrid position (minimum of 4 days per week onsite and as required for position success.)
  • Occasional travel 

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
